Responding to recommendations is one of the ways we can best serve you – our Agency Partners.  You suggested we consider options when mailing new business policies to your insureds.  As a result, Patriot Insurance is pleased to provide you the choice to mail these new policies from your office, or empower us to mail these documents directly to your client. You will also have the opportunity to adjust the mailing of a Personal Lines new business policy on a per policy basis. 

The new delivery process will be implemented in our iBIS system on December 17, 2013.  After that date, all new direct billed personal lines business will default to be mailed directly to the insured.  An exception to this is if the Agency Standard has been updated to default to Agency mail.  Agency billed new business policies will continue to be mailed to agents.

We understand you may wish to have new business policies mailed directly to your office.  We’re happy to retain this option for you.  You will have the opportunity through iBIS to select the default from insured mailed to agency mailed. This option is available beginning December 5, 2013.  Changes in the default option will be reflected within two weeks of your request. 

•       To change the default, the Security Administrator at the agency will need to log into iBIS, hover over the Administration tab, select Security Management and then the Agency Settings option.  Expand the information for the agency by clicking on the plus sign icon next to the selected agency code to see and select the preferred New Business Delivery Method option in the Personal Lines section. 
•       The mailing option selected by the agency security administrator will be viewable to everyone in the agency.  It can be accessed by hovering over the Administration tab, selecting My Settings, then Agency Profile, and clicking on the plus sign icon next to the agency code to expand the information for the agency.  

Along with this delivery change, we are also offering you the option to include a co-branded cover letter with your personal lines new business policy mailings.  Through customization of the cover letter, you will have the opportunity to provide quick facts about your agency, as well as promote additional products offered by your agency through Patriot Insurance.  Attached is a PDF file of the co-branded cover letter.   The yellow highlighted section includes recommended wording you may choose to use.  Or, you may prefer to write your own copy for this portion of the cover letter. 

If you choose to provide your own copy, please do so within 100-150 words and email your agency’s proposed wording to agencyinfo@patriotinsuranceco.com.  Once received, we will review for accuracy and formatting.  The letter will be included with new business policies within 2-3 weeks of receipt of your customized copy.
